JOB TITLE: Event Intern

LOCATION: Eccentric Café, Kalamazoo, MI

REPORTS TO:  Event Coordinator 

FLSA POSITION TYPE: Variable Hours, Hourly (Paid) Non-Exempt

INTERNSHIP DATES: 06/04/2018 – 08/24/2018

EXTERNAL POSTING DATES: 02/02/2018- 02/25/2018

 

POSITION SUMMARY: The Events intern will assist the Hospitality department in Event planning and execution at the Bell’s Downtown Retail Campus with a focus on Private Events and Venue management.  

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:  include the following.

• Adheres to and advances the “Safety Always” culture of Bell’s Brewery.

• Assists the Hospitality department with daily duties/tasks. 

• Facilitates venue walkthroughs for interested parties. 

• Creates and sends invoices.

• Works with the Event Coordinator to respond and manage all event inquiries via phone, email, & social posts.

• Responsible for maintaining and updating the Event/Venue Calendars.  

• Develops a Comparative Pricing Index.

• Assist with Event admin duties including but not limited to;

o Preset room layouts

o Venue folders for new clients

o Printing materials (drink tickers, flyers, etc.)

o Gift card setup for sales reps

• Maintains and updates preferred vendor list.

• Assists in preparing and executing (setup and breakdown) of Bell’s Eccentric Café events during the summer. 

• Assists in documenting processes as they relate to standard operating procedures (SOP’s) for Event Equipment Inventory Controls and Venue Layouts.

• Presents recommendations on how to improve future planning and executing.

• Creates an end-of-program presentation to be given to members of the management team.

• Flexible work schedule, as weekends and extended workdays are necessary for events.

 

Additional duties may be assigned as necessary.

• Must possess a valid driver’s license 

• Must be 21 years or older as of 06/04/2018

 

MATERIALS/MACHINES/EQUIPMENT USED:

• Microsoft Office Programs including Word, Excel, PowerPoint, and Outlook

• General Office Equipment

• Company Vehicle

 

IMPORTANT SKILLS AND ABILITIES:

• Strong analytical, interpersonal, written and oral communication skills; able to communicate with a broad and diverse audience of all levels.

• Ability to organize and meet deadlines for a wide variety of ad hoc requests. Must be able to handle numerous projects at one time.

• Ability to work both independently and in a collaborative team environment. 

• Demonstrate high levels of self-direction and an orientation to achieve results.

• Ability to maintain confidentiality of highly sensitive information.  Absolute integrity and discretion essential.

• High level of creativity for marketing related ideas. 

• Computer proficiency, especially with Microsoft Office Suite. 

• Ability to work weekends, as that is when most events occur.

 

THE IDEAL CANDIDATE WILL POSSESS:

• Junior or Senior in pursuit of a Hospitality, Events, Public Relations, Event Planning or related degree from an accredited program.

• Prior experience in event planning or catering is a plus.

• Prior experience working in customer service. 

• Passion for craft beer!

WORK ENVIRONMENT: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. 

• Work is primarily performed in an office environment with occasional trips to operational areas required.

• The work environment is usually that of a pub.

• The employee must be available late nights and weekends.

• Alcohol-serving environment.
