REPORTS TO: Hospitality General Manager

POSITION SUMMARY: The Event Manager oversees the execution for all events taking place at Bell’s Eccentric Café and back room venues. The Event Manager is the leader of the venue representatives and is also an ambassador for the Bell’s brand, responsible for upholding company values at all times while ensuring our standards of quality service to staff and customers are met.

ESSENTIAL DUTIES AND RESPONSIBILITIES:  

• Adheres to and advances the “Safety Always” culture of Bell’s Brewery, Inc., and is accountable for the safety of the event team. Leads by example in order to be a safety role model for the department.

• Promotes an atmosphere of cooperation and teamwork within the department and the company.

• Schedules and monitors staff attendance and performance through documentation, coaching and/or progressive discipline efforts with coordination of Hospitality General Manager.

• Conducts annual performance reviews with direct reports.

• Coordinates with HR and Hospitality General Manager for interviewing and hiring of new staff.

• Assists HR and Hospitality General Manager to successfully onboard and train new team members.

• Supports event team to meet service needs as required.

• Works to create terms and schedule events at the Eccentric Café and back room based on researched market value and company vision.

o Determines and outlines customer needs and negotiates billing terms.

• Responsible for communications and day-of requirements for all events; acts as an on-site contact during the events

o Answers inquiries.

o Provides proposals.

o Schedules and performs venue walk-throughs.

o Handles all billing and payments.

o Provides information for in-house catering, beverages, and rentals.

o Communicates responsibilities to venue staff for planning and preparation of events.

• Develops and maintains SOPs to ensure the accountability and training of the events team; monitors and tracks efficiency of training through outcomes of service.

• Coordinates with Operations Lead to plan for equipment and logistical support for events setup and tear down

o Oversees the maintenance and inventory of venue and equipment (tables, chairs, linens, décor, etc.).

o Develops criteria and defines responsibilities in preparation for events.

• Collaborates with other departments to define needs and staffing responsibilities to efficiently plan and prepare for functions.

• Reports shift notes at the conclusion of each shift.

• Tracks and evaluates event data to augment quality, determine success, and project growth.

• Maintains best practices for contract records retention.

• Works with Hospitality General Manager to determine budget and scope of financial to produce profitable events.

• Acts as a liaison to Sales Reps for visiting guests.

• Works with the Marketing department to determine promotional needs for events at the Café.

• Develops contacts and relationships with vendors.

• Coordinates with DRC Purchasing Specialist to procure event supplies as necessary.

o At times is responsible for traveling to procure the necessary supplies from local stores and vendors.

 

Additional duties may be assigned as necessary.

• Must have a flexible schedule; nights, weekends, and on-call duties are required.

THE IDEAL CANDIDATE WILL POSSESS:

• 3-5 years event coordination experience

• 1-3 years leadership/management experience in a customer service setting

• Prior experience with contract negotiation

• Prior work experience in craft beer

• A high level of professionalism

• Experience working with ALOHA
